"Ordering, Wording & Addressing your graduation announcements"Part 2

Author: Jennifer - Internet Sales Coordinator & Team Leader

Once you have chosen your graduation announcements or invitations, it is time to start thinking about actually placing the order. Some wonder how to word their announcements, how to address the envelopes and when to send the announcements out to friends and family. These questions are common, especially for first time graduates and their parents. Read on for some helpful tips for ordering and sending your announcements.

Wording for announcements depends on if you are inviting guests to an event or simply informing them that the graduation took place. Either way, be sure to state the name of the graduate, the school, and the major or specialty of the graduate (if applicable). If you are inviting guests to an event, be sure to give the date, time and location. The wording of graduation invitations or announcements can be very simple or more creative, depending on what you want. If you need a little more direction, Invitation Consultants offers a very helpful wording resource online. We offer many examples of wording for you to look at, broken down into categories of graduation invitations and graduation announcements.

Once you receive your announcements, it will be time to face the task of assembling and addressing the envelopes. When assembling, it is important that both the return and the front address are clear and legible for the post office. If your announcement comes with outer and inner envelopes, the smaller inner envelope contains the invitation and the larger gummed envelope is for mailing, and contains the inner envelope. Slide the announcement into the inner envelope, and slide the inner envelope into the outer envelope.

When addressing the envelopes, it is traditional to use full names and proper titles, including Mr., Mrs., Dr., etc. Here is an example:

Mr. and Mrs. Ben Salyer
8376 West Oak Lane
Lansing, MI 48875

Traditionally, the inner envelope would also be addressed informally, however, in a modern world, this is a personal preference. If you or your son or daughter would like to do this, it is perfectly acceptable, but not required.

The question of when to mail your invitations depends on if you are inviting guests to an event or announcing a graduation. If you are sending a graduation announcement, you can send the announcement right after the graduation took place, or wait 2-3 weeks to announce. If you are inviting guests to attend a dinner or event, you will want to mail your invitations 4-6 weeks in advance to make sure that your guests have enough notice.

Once your announcements are mailed, rest easy knowing that they are done and taken care of. The process does not have to be stressful. In fact, your perfect graduation announcement can be a keepsake to cherish. It marks a time when change is upon you, so with your announcements out of the way, you can turn your attention to graduation and the future!
